FAQ

Charges That Show Up After Wrap

Dolly Card5 min read

The short answer

Turning a card off stops new swipes. A purchase that was already approved can still post, sometimes weeks later for a hotel or a rental car. A refund can still land on a card that has been canceled. Look at what is pending before you close the production.

Paused and canceled are not the same

Pausing a card is temporary. Crew cannot spend, and you can turn it back on. Canceling a card is final. That number will not work again.

Either way, a swipe that was already approved is still in motion. The store got a yes. The finished charge can show up after the card is off. Spending controls and the on/off switch apply to new attempts, not to a purchase that already went through.

What still shows up after the card is off

  • Hotels and car rentals. They often approve an estimate, then post the real bill days or weeks after checkout. A stay at the end of a shoot can land after wrap.
  • Tips. A restaurant may approve the bill, then add the tip when it posts. The final amount can be higher than what you saw the night of the meal.
  • Orders that ship in pieces. An online order can post once for each shipment, after the card is no longer in use. Group those charges with orders instead of treating each one as a new purchase.
  • Purchases with no signal. A charge made on a plane, or anywhere the terminal was offline, can appear only after the merchant sends it in. There may never have been a pending line.
  • Refunds. A credit can post to a canceled card. The money still comes back to the production.

What to look at before you close the books

Go through every card for pending holds, not just posted charges. A pending hotel or rental is a charge you should expect. A pending return is not money back yet, so do not treat it as funds you can spend or as a credit that has landed.

If a charge posts and nobody on the crew recognizes it, contact Dolly. Fraud should be reported as soon as you see it. A formal dispute has to wait until the charge has posted.

Frequently asked questions

We canceled every card at wrap. Can new charges still hit?
New swipes, no. Charges that were already approved, yes. Hotels, rentals, tips, and split shipments are the common ones.
Can I get a refund after the card is canceled?
Yes. Refunds still post to a canceled card and come back to the production account.
How long after wrap should I wait to close?
Wait until the pending holds you know about have posted or dropped off. Hotel and rental holds are the ones that linger. Anything you do not recognize should go to Dolly rather than sit in the close.
Does pausing a card do the same thing as canceling it?
Both stop new spending. Pausing can be undone. Canceling cannot. Neither one stops a purchase that was approved before you turned the card off.
